AI Usage Policy

This policy explains what AI systems we use, what data is shared with AI processing, and how safeguards are applied.

1. Purpose and scope

This AI Usage Policy describes how icrewsystems (ICREWSYSTEMS SOFTWARE ENGINEERING LLP) uses artificial intelligence features in its products and services. It applies to user interactions that involve AI-generated analysis, recommendations, or automation support.

2. AI model architecture

We use an open-source base model with custom adaptation layers. As an example, our stack may use Meta Llama 3.2 with larger billion-parameter variants, with additional fine-tuning and parameter-level customization applied for our business workflows and output quality requirements.

3. Personal data and identity handling

We do not send personally identifiable information (PII) to AI processors. For AI processing purposes, users are represented by a pseudonymous UUID only. That UUID can be correlated to a specific person only within our secured internal data systems and is not directly identifying on its own.

4. Data hosting and location

Data associated with AI processing is stored in secure server infrastructure located in Mumbai, India. We apply reasonable technical and organizational controls such as access restrictions, encrypted transport, and environment-level security hardening to protect data handled by our systems.

5. Human oversight

AI outputs are probabilistic and may be incomplete or inaccurate. AI-assisted recommendations should be reviewed by users and, where appropriate, by our team before making material business or operational decisions.

6. Security, retention, and access control

We follow a least-privilege approach for access to AI-related systems and logs. Data retention periods are limited to what is necessary for service delivery, security, legal compliance, and quality operations. Access to data is restricted to authorized personnel with legitimate business need.

7. Prohibited use

Users must not use our AI features for unlawful purposes, to generate harmful content, or to attempt to re-identify anonymized/pseudonymized records. Violation of these restrictions may result in suspension or termination of access, subject to applicable law and contractual terms.

8. Policy updates

We may update this policy periodically to reflect product, legal, regulatory, or security changes. The latest version will always be published on this page, and continued use of AI-enabled services after updates constitutes acceptance of the revised policy where permitted by law.
